When you book your event with the Greater Tacoma Convention & Trade Center our job is to help make sure your event is a huge success. We know that planning a meeting or event can be complicated, so that's why (in conjunction with the Tacoma Regional Convention & Visitor Bureau) we have developed the following list of available "Event Promotion Services." To ensure that your event is successful, this program includes various tools to help boost pre-event attendance, execute your event details and promote the region. Together we will partner with you to make your event run like clock-work. Take advantage of the convention planning services we offer to make sure that your event is a huge success!
Convention Pre-promotion & Attendance Building
- Link your event/convention website to ours gtctc.org and www.traveltacoma.com to help event attendees get ready for their time in the Northwest.
- We have a large selection of print-ready images that can be included in your convention program, registration packets or other promotional materials.
- A full-color publication “Tacoma Official Visitor's Guide,” regional posters and video's are available from the Tacoma Regional Convention & Visitor Bureau to help you with your meeting or conference promotion.
- With your assistance, we can create a customized welcome e-mail postcard to help inform event attendees about the region, dining, attractions and venues to help attendees plan in advance to get the most value for their time (when their e-mail addresses are provided).
- Public relations materials (including local media lists) are available for your use. Personalized media assistance and advertising support is available through our Marketing Department.
- Many local businesses offer discounts to event attendees. Ask our Sales Staff or your Event Coordinator for more details if you are interested in promoting these specials to your event attendees which include day spas, dining, shopping, lodging and other discounts. Or, you can direct attendees to the Tacoma Regional Convention & Visitor Bureau's website to download discount coupons and special offers from regional attractions.
- Local attractions, including three nationally recognized museums within walking distance, also offer special pricing on combined attraction admission for event attendees to enjoy.
- To make sure you have access to all the best local contacts for your event, GTCTC clients will be referred to area vendors. From Event Decorators and transportation companies to caterers, photographers and florists we provide the best local resources to help take care of your event needs. Contact your Event Coordinator, call 253-830.6601 or email us for referrals.
- Tacoma's official Visitor Guide is available for use in registration bags or as a hand-out (a minimal charge applies for quantities in excess of the complimentary amount).
- The members of our staff are experts on our region and are happy to provide offsite event planning assistance, including local speaker's lists and transportation planning assistance.
- Customized event and activity packages can be prepared to help event attendees see the Northwest region. Such packages can include: spouse/youth/children's activities, pre and post convention activities, regional tours, entertainment & concerts, professional-sporting events and more.
- We can assist in arranging a city-wide concierge to provide live local tourism and dining information. Please allow one months advance notice and understand that this service is based upon volunteer staff availability.
- As a standard service we will provide a display at your convention venue to accommodate regional brochures and information to your attendees.

With an advanced notice of one month, we are happy to provide personnel for registration assistance. Registrars can help with all of your registration needs including: local tourism & restaurant information, registration assistance, data entry, information/message clerks, preparing name badges and more.

Complimentary plastic computer generated name badges, registration bags and regional information for your group may be available from the Tacoma Regional Convention & Visitor Bureau (a minimal charge applies for quantities in excess of the complimentary amount).
- The Tacoma Regional Convention & Visitor Bureau administers a housing bureau which can be available to help secure all of your event housing needs. In addition to general housing needs, the housing bureau offers real time online hotel reservations where planners can access housing reports, block pickups and more.
- We are your hotel liaison. We have great relationships with all of the hotels in our region and are ready to help make sure there is a seamless transition for multiple facility events.
Official Welcome Letters & Proclamations
- The Tacoma Regional Convention & Visitor Bureau can arrange for welcome letters from city and county officials for groups of 500 delegates or larger. City and county proclamations can be obtained to recognize the contributions of your organization to the community. (Please contact the TRCVB and allow four weeks for processing.)
- For groups of 500 delegates or larger, a welcome message to your delegates can be distributed to local businesses throughout the city, convention center and community storefronts for posting. (Please allow one month for processing.)
- For groups of 1000 delegates or larger, banners can be hung across key downtown city streets, including a welcome message to event attendees. (Please allow one month for processing.)
